This policy explains what personal information AssetGuard Cam collects, why, who can see it, and the choices you have. In short: we use your details only to inspect your property and look after your account, we keep them private, and we never sell them.
1. Who is responsible
[Legal name of the company], [registered address], is responsible for your personal information. Our person in charge of privacy is [name and title]. You can reach them at [privacy email] or on WhatsApp at +1 438 883 5509.
2. What we collect
From clients
- Account details: your name, email address and phone or WhatsApp number.
- Property details: address, landmarks, map position, property type, notes, and the name and phone number of your caretaker or contact on site.
- Bookings and payments: what you bought, when, the amount and payment status. Stripe handles your card.
- Messages you send us by WhatsApp, email or in the app.
During an inspection
- Photos and video of the property, with the time and GPS position where each was taken.
- The inspector's checklist answers and notes, and the manager's summary and grade.
- Photos may sometimes show people who are at the property, such as a caretaker, tenant or neighbour. Our inspectors are told to avoid filming people where they can.
From inspectors and managers
- Name, contact details, the country they work in, and identity and reference checks.
- Their location while they take photos during a visit, to confirm they were at the property.
- Payment records for the fees we pay them.
From everyone
- Basic technical data our servers need to run the app and keep it secure, such as your IP address and browser type.
- Your email address and chosen plan if you join a waitlist.
3. Why we use it
- To create your account, book and carry out inspections, and deliver your reports.
- To check quality, for example by confirming that photos were taken at the right place and time.
- To take payments, give refunds, and pay inspectors and managers.
- To contact you about your bookings and answer your questions.
- To keep the service safe, prevent fraud, and keep a record of important changes.
- To meet our legal duties, such as keeping tax and accounting records.
We only send marketing messages if you agree to them, and you can stop them at any time. We do not sell or rent your personal information, and we do not use it for advertising.
4. Who can see it
- You see your own properties, bookings and approved reports.
- The inspector assigned to your visit sees the details needed to find the property and contact your caretaker, but not your payment details.
- The regional manager for the country the property is in, and a small number of our admin staff, can see what they need to run and check the service.
- Service providers that help us run the app, under contracts that protect your information: Supabase (database and file storage, hosted in Canada), Vercel (website hosting), Stripe (payments: Stripe collects your card details on its own secure page; we never see or store them), Resend (emails about your bookings), Sentry (error reports, without names, emails or form contents), and WhatsApp if you choose to message us there.
- Authorities, only when the law requires it, or to protect someone's safety.
5. Where your information is kept
Our database and the photos and videos are stored in Canada (Montreal). To deliver the service, inspectors and managers in the country where your property is, currently Kenya, access the information they need for the job. Some service providers may process information in the United States or other countries. When we send information outside Canada, we take steps to make sure it stays protected.
6. How long we keep it
- Account and property details: while your account is open, and [12 months] after you close it.
- Reports, photos and videos: [3 years] after the visit, so you can compare visits and so we can handle any dispute. You can ask us to delete them sooner.
- Payment and tax records: as long as tax law requires, [usually 6 to 7 years].
- Waitlist entries: until the plan launches or you ask to be removed.
7. How we protect it
Information travels over encrypted connections. Photos and videos are stored privately and shown only through links that expire after a short time. Database rules make sure each person sees only what their role needs, and important changes are logged. No system is perfectly secure. If a breach could harm you, we will tell you and the regulators as the law requires.
8. Cookies and storage on your device
We use only the cookies needed to keep you signed in, remember your language and keep the app secure. We do not use analytics, advertising or tracking cookies, so we do not ask you to accept any. The inspector app saves checklist answers and photos on the inspector's phone until they are uploaded, so work is not lost when the signal drops. The app is installable: a small file on your phone shows a friendly page when you have no signal. It does not store your information.
9. Your rights
Depending on where you live, you can ask us to:
- show you the personal information we hold about you, and give you a copy;
- correct information that is wrong or out of date;
- delete your information, unless we must keep it by law;
- stop using it for a purpose you agreed to, such as marketing.
Contact our person in charge of privacy (section 1). We will reply within 30 days. If you are not happy with our answer, you can complain to the Office of the Privacy Commissioner of Canada, the Commission d'accès à l'information du Québec, the Office of the Data Protection Commissioner in Kenya, or the regulator where you live.
10. Children
AssetGuard Cam is for adults. We do not knowingly collect information from anyone under 18.
11. Changes to this policy
We will update this page when our practices change and show the date at the top. If a change is important, we will tell you in the app or by email first.
